Boardroom tables are the biggest trap. A large boardroom table in a CBD tower might weigh well over 200 kilograms, and it almost certainly will not fit in the lift in one piece. If whoever booked the job has not confirmed whether the table disassembles, the crew finds out at 8 a.m. on a Monday with a full building to empty.

The single biggest cause of delays and damage in an office move is information that arrives on the day instead of the week before. Here is what your movers need to know in advance.

First, the access points. Which entrance can the truck use? Is there a loading dock, and does it need to be booked? What are the lift dimensions, and is there a goods lift separate from the passenger lifts? If the goods lift is shared with another tenant on the same day, you may need to negotiate a time slot with building management.

Second, the furniture specifics. Tell the crew which items disassemble and which do not. For sit-stand desks, confirm whether the legs need to come off and whether you have the original bolts. For workstation clusters, a simple floor plan showing which panels connect to which saves real time. For filing cabinets, confirm they will be empty before the crew arrives.

Third, the boardroom table situation. Measure the table and measure the lift before moving day. If it does not fit, say so upfront. A crew that knows in advance can plan a stair carry or, for upper floors with no stair option, discuss alternatives. Finding out on the day adds hours and sometimes makes it impossible.

Finally, parking and time restrictions. Many Auckland streets around the CBD have loading zone time limits or require a temporary no-parking cone zone, which needs to be arranged with Auckland Transport in advance. Your movers can advise, but they need to know the address and access situation early enough to sort it.

Glass tops, veneer surfaces and powder-coated frames all need different handling. Let the crew know what surfaces are vulnerable, and they will choose blankets, shrink wrap or other protection to suit what the item needs.

Cables are often the last thing people think about and the first thing that causes a problem. Label every cable before it is disconnected, or photograph each workstation setup with your phone. A crew that arrives to reconnect a bank of monitors with an unlabelled tangle of cables will do their best, but it is not their IT infrastructure. If your IT team can be on-site at the destination when the furniture arrives, set that up.

Drawer pedestals should be emptied and locked, or taped shut if they have no lock. Loaded drawers shift in transit and can warp the frame or damage the runners. A heavy pedestal full of files also puts the weight in the wrong place when the crew needs to tilt it through a doorway.

Most Auckland businesses cannot afford to have their people standing around a half-empty office while furniture goes out the door. Moving after hours or over a weekend means staff walk into a functioning workspace on Monday morning.
