The real goal is Monday morning, not move day
Most business relocations go wrong before the truck arrives. The furniture gets moved fine. What kills productivity is a monitor with no stand, a phone system that rings at the old address, or a server that nobody thought to shut down cleanly. Staff arrive Monday and spend the morning hunting for their chair.
If you are an operations lead or a business owner, your measure of success is not a smooth move day. It is whether your team can do their job at 8 a.m. the following Monday. Everything in a relocation plan should work backwards from that moment.
Sequence IT first, furniture second
This is the rule that experienced operations managers learn once, usually the hard way. IT infrastructure drives the sequence of everything else. Before you book a truck, confirm with your IT team or provider exactly what needs to happen at the old site and in what order, and what needs to be live at the new site before anyone sits down.
Patching, switching, and server racking takes time at the destination. If your IT provider needs Saturday to commission the server room, your furniture move needs to be complete by Friday evening. That is not a request you can make Friday afternoon. It is a decision that sets your whole move schedule, and it needs to be made at least two weeks out.
Workstations are the handover point between IT and the movers. Decide in advance whether IT strips desks before the crew arrives or whether the movers pack monitors and cables under instruction. Whoever does it, every cable run needs to be photographed at the old desk so setup at the new one is straightforward. This takes about ten minutes per workstation and saves an hour of guesswork on Monday.
After-hours and weekend crews: what actually works in Auckland
Most Auckland commercial buildings have loading dock and lift access windows. If you are moving out of a multi-tenancy building in the CBD, Newmarket, or the Viaduct precinct, your building manager will tell you those windows are tightly controlled. Friday evening from 6 p.m. and Saturday are the slots most building managers prefer for a full office clearance, because it keeps corridors clear during the working week.
We work seven days, including evenings, specifically because business moves rarely fit a Tuesday morning. If your building only has one freight lift and another tenant is using it Wednesday, that is not a problem you can solve on Wednesday. Weekend crews are the practical answer, and they are not a premium service, they are just how commercial moves get done without your staff having to step around packing boxes.
One thing worth confirming with your new building early: are there any days the loading dock is booked out, and does the freight lift need a building staff member present? Some buildings in the Auckland CBD require that. Finding out on move day costs you hours.
The decisions that matter most in the week before move day
The week before the move is when most downtime is created or prevented. Here is where to spend your attention.
Floor plans first. If every workstation has a number on the plan and every chair has a label, the crew can place furniture without asking. If the plan does not exist, the crew asks, the operations lead answers, and the afternoon disappears. Print the floor plan. Tape a copy at the entrance to each room at the new site.
Talk to your staff. People who know their desk is moving on Saturday and their login will be tested Monday morning arrive Monday prepared. People who find out on the day arrive unsettled. A five-minute team meeting on Thursday is worth more than any amount of careful packing.
Confirm parking and access for the truck. A standard moving truck needs a reasonable run at a loading bay. If you are moving into a site on a narrow street in Ponsonby or Grey Lynn, the crew needs to know that before 7 a.m. on Saturday, not at 7:01. Check with your building manager and pass that information to whoever is coordinating the move.
What to pack the day before, and what to leave for the crew
Loose personal items, desk contents, and anything stored in pedestals should be packed by staff before they leave Friday. This is not about saving money on packing time. It is about staff having their own things in order and not spending Monday morning unpacking someone else's filing.
Furniture, large equipment, and anything awkward is better left to the crew. Attempting to flat-pack your own workstations the night before a move, without the right tools or experience, usually results in something that cannot be reassembled cleanly. The crew handles this regularly and it is quicker to let them do it.
If you have a packing service booked for the day before the move, communicate clearly which areas are in scope. A crew arriving at your Takapuna office to pack the storeroom does not automatically know to leave the IT server rack alone unless you have told them.

Some Auckland relocations involve new builds or sites still under construction management, particularly around the Wynyard Quarter, Commercial Bay tenancies, or suburban business parks that were recently developed. A simple checklist for the final week
Floor plan finalised and printed for each room at the new site. Labels on every workstation, pedestal, and filing cabinet. IT provider briefed on the furniture sequence and confirmed for Saturday commissioning. Building manager at both sites contacted about dock and lift access windows. Staff briefed on their role before Friday close. Parking access confirmed and passed to the moving crew.
None of this is complicated. What makes it difficult is doing it on Thursday instead of the Monday before. The moves that finish with everyone functional on Monday morning are almost always the ones where the operations lead made these calls with a full week to spare.
